====Starting Report and your word processor====
As you will need two windows open at once it is recommended that you select a wide screen mode. To do this:
1. Move the pointer over the palette icon on the icon bar and Click the MENU button on the mouse.
2. Move the pointer across the “Mode” arrow and Click SELECT over either:

If you have not done so already load your word processor in the usual way (please see your word processor manual for details or if you wish to use Edit follow the instructions in Appendix A {p.15}), move the window to the top of the screen by:
1. Click SELECT over the toggle size icon to fill the screen.
2. Click SELECT and hold over the drag screen size icon and move the window up into the top half of the screen.
3. Put the disc “Report” into the disc drive slot and Click SELECT over the disc drive icon on the icon bar.
4. Double Click SELECT over the pages called “!Report”.
5. Click SELECT over “Report” on the icon bar.
(Report’s main window will open at the bottom of the screen with your word processor window above.)
====Using an example phrase file====
1. Put the disc “Report” into the disc drive slot and Click SELECT over the disc drive icon on the icon bar.
2. Double Click SELECT over the directory (folder) called “Examples” to open it up.
3. Drag one of the phrase files onto the Report window. (To pick up a phrase file Click and hold down SELECT, do not let go until you are over the Report window or icon.)
4. Click SELECT in the word processors window to position the ‘Caret’ (red writing bar). This is where the words sent from Report will be typed.
5. Click SELECT over either a word or a phrase to send it to the word processor (or use the keyboard).
====Phrases====
As you move across the individual phrases they will be highlighted.
1. Clicking SELECT over a highlighted phrase will type the phrase into your word processor. If “Auto step” is set (This is the default setting, please see ‘Options’ for an explanation {p.11}) the next page of phrases will be displayed.
2. Clicking ADJUST over a highlighted phrase will type the phrase into your word processor. The next page of phrases will not be displayed.
3. If “Auto step” is set Clicking SELECT at the bottom of a page will display the next page of phrases without typing anything.
====Pages====
1. Clicking SELECT on > will display the next page of phrases.
2. Clicking SELECT on < will display the previous page of phrases.
3. Clicking SELECT on << will display the first page.
4. If you wish to jump to a page number:
•Click SELECT over the ‘menu’ icon next to the page number.
•Delete the old page number.
•Type in the new page number and press ‘Return’.
====Words====
1. Clicking SELECT over a word will type it into your word processor.
2. Clicking SELECT over “Male” or “Female” will change the gender of the words.
3. Clicking SELECT over “Case” will force the case of the next leading letter to a capital or lower case letter as indicated.
4. Clicking SELECT over “Return” will start a new line.
====Special words====
The first three words “#Name#”, “#Phrase1#” and “#Phrase2#” may be changed by:
1. Clicking SELECT over the ‘menu’ icon next to them.
2. Delete the word on the menu.
3. Type in the new word and press ‘Return’.
(These special words have an important use which will be discussed under ‘Special codes’ {p.10} but you may see any occurrences of the special words in the phrases being updated live on screen, try it now with this page!)
====Making your own phrase file====
Phrase files are plain text files. These may be typed in using ‘Edit’.
(To use Edit please follow the instructions in Appendix A {p.15})
Please look at the example files, by double Clicking SELECT on them, for clarification of the following points.
1. Type in your phrases.
(These may be up to 250 characters long. Split long lines over several phrases.)
2. Press ‘Return’ between each phrase.
3. Press ‘Return’ twice to separate the pages of phrases.
(You may wish to type in ‘Special codes’ #Name#, #he# etc. The Special codes will be substituted as discussed under ‘Special codes’ {p.10}.)
4. Save your phrase file as ‘Plain text’ (if you are using Edit please see Appendix B for details {p.16}).
5. Drag your phrase file onto the Report window as detailed previously under ‘Using an example phrase file’ {p.4}.
6. If you have made a mistake the program will tell you what you have done wrong and also the line number the mistake is on:
•Check the line by loading your phrase file back into Edit or the word processor and altering the offending line.
The quick way to check and correct a mistake is to:
1. Double Click on your phrase file (this will load it into Edit)
2. Press ‘F5’ (at the top of the keyboard)
3. Type in the line number and press ‘Return’.
4. Alter the line.
5. Press ‘F3’ and ‘Return’.
====Special codes====
The following Special codes in a phrase file are recognised and substituted by Report:
#He#, #he# etc. will be substituted by ‘He’, ‘he’ etc. or ‘She’, ‘she’ etc. depending upon the gender selected.
(N.B. #him# and #his# will be changed into ‘her’ but #her# can only be changed into ‘his’. You may mix the gender in a phrase file!)
#Name#, #Phrase1# and #Phrase2# will be substituted by the phrases entered in the #Name#, #Phrase1# and #Phrase2# special word boxes. (i.e. if you change the special word #Name# to Jenny all occurrences of #Name# will be changed to Jenny.)
Please see the section ‘Special Words’ for instructions {p.8}.
====Options====
To view the options window:
1. Click MENU over Report on the icon bar
2. Click SELECT over “Options...”.
(The Options window will open.)
The options available to be set or cleared are as follows:
1. When “Auto step” is ticked:
•Choosing a phrase with SELECT will automatically display the next page of phrases.
•Choosing a phrase with ADJUST will not display the next page of phrases.
•Clicking SELECT at the bottom of a page will display the next page of phrases without typing anything.
2. When “Auto space” is ticked:
•The phrase or word sent to the word processor will be stripped of any leading spaces and then the leading character checked, if it is an alphabet letter a space will be added.
3. When “Auto scroll” is ticked:
•The phrase page will automatically scroll up and down when you are at the top or bottom of the page without the need to use the scroll bar. The speed of scrolling is set by the ‘auto scroll speed’.
4. The ‘auto scroll speed’ may be set by:
•Clicking SELECT over slow. (Value of 2 for Risc PC’s to slow them down!)
•Clicking SELECT over medium. (Value of 8)
•Clicking SELECT over fast. (Value of 32)
•Clicking SELECT over numerical value, Clicking SELECT in the number box and typing a different value in.
1. Set the options by Clicking SELECT over “Set”
2. Set and save the options as default values when you next run Report by Clicking SELECT over “Save settings”
3. Cancel any changes made by Clicking SELECT over “Cancel” or closing the window by Clicking SELECT over ‘X’.
4. Return to a recommended setting by Clicking SELECT over “Factory default”.
====Missing characters====
Some word processors, such as Edit, do not accept typed characters (letters) from the keyboard in the normal way. This will cause the occasional character sent by Report to be lost.
If you find that your word processor is losing some of the characters sent to it:
1. Click MENU over Report on the icon bar.
2. Click SELECT over “Missing...”.
(The Missing Characters window will open.)
3. Read the instructions carefully.
4. Click SELECT in your word processor window (as if you are typing).
5. Click SELECT on “Add to list”.
6. You will now need to Quit Report and restart for the change to take effect.
7. If you are still losing characters:
• Click SELECT over “Speed”.
• Enter a lower number.
• Click SELECT over “Set” to test.
• Click SELECT over “Set and Save” when you stop losing characters.
N.B. For speed reasons it is not recommended to add programs to this list unnecessarily. To empty the list Click SELECT over “Remove all”.

1. Click MENU over Report on the icon bar.
2. Click SELECT over “Help...”.
====To Quit the application====
1. Click MENU over Report on the icon bar.
2. Click SELECT over “Quit”.
====Information about Report====
1. Click MENU over Report on the icon bar.
2. Move over the “Info” arrow.
(The information window will open.)

====Appendix A Starting Edit====
1. Click SELECT over Apps on the icon bar.
(The Resources folder will open displaying Edit.)
2. Double Click SELECT over “!Edit”.
(Edit will appear on the icon bar.)
3. Click SELECT over Edit (the blue pen) on the icon bar.
(A window will open for you to type into.)
====Appendix B Saving from Edit====
1. Put the disc “Report” into the disc drive slot and Click SELECT over the disc drive icon on the icon bar.
2. Double Click SELECT over the directory (folder) called “Examples” to open it up.
3. Click MENU over the writing you wish to save.
4. Move over the “Save” arrow.
5. Click SELECT in the ‘TextFile’ box, delete the word and type in a new name.
(N.B. This must be a unused name!)
6. Click SELECT and hold over the square paper and pen picture.
7. Move it over the “Examples” folder and release SELECT.
====Appendix C Report Forms====
Inside the folder “Forms” are a selection of possible report layouts.
•The Impression Forms are set up ready for use.
•The Draw forms may be used as back drops for a word processor such as Pendown.
(N.B. They are not to be used with Draw on their own.)
•The Edit form has been set up for those people who do not have access to a word processor and wish to use a combination of Edit and Draw. (Not recommended!)
